ALL ABOUT PAYMENT
We collect payment prior to each counselling session.
Payment Options: E-Transfer, Credit Card or PayPal
Due to the nature of online services, we request payment before - or at the start of - your appointment. Paying in advance frees up more time in the session for your therapy.
An official receipt will be provided immediately following service. This receipt is suitable to submit to your benefits or insurance provider if needed. For details see:INSURANCE INFORMATION
PAYMENT METHODS:*
(1) E-Transfer: Use our main email for your transfer: -- No password is necessary.
(2) Credit Card: Add your credit card information to My Account through the Client Portal in advance for regular payment processing. We will never see your credit card info. This is the easiest and most secure route of payment.
(3) PayPal: Pay directly using your own PayPal account. Automatic - we will send you a PayPal invoice to the email you have listed with us. Manual - Go to paypal.ca. Select “SEND” > select for “Goods or Services” > login to your own PayPal account > enter willowrockwellness@gmail.com as the recipient > enter your invoiced amount.
*Note: All payments are final and non-refundable. Payment is accepted in CAD funds only.
CANCELLATION POLICY
We respectfully request 24 hours notice from the appointment start time for cancellation or reschedule.
Appointments changed without 24 hours notice will be subject to a 50% fee service charge.
Appointments that are not attended and without any notice will be charged the full fee.
We regret to enforce this policy however, missed appointments mean a missed opportunity to be helping others who were available to attend.
HOW TO CANCEL: Prior to 24hrs you can cancel yourself in My Account of the Client Portal. Post 24 hrs, by Email or Text to the clinic cell.
TO RESCHEDULE: Simply book a new time/date in the Client Portal at your convenience, OR request an option in your cancellation message. Your therapist will confirm it.
INSURANCE INFORMATION
It's our policy to keep complete confidentiality about your sessions with us when it comes to Insurance Companies and Benefits Providers.
As a result, we do not engage with these organizations about client accounts, treatment plans or financial reimbursement.
Prior to booking - please ensure your provider covers services by a "Registered Psychotherapist" using "telehealth or e-counselling" formats - if you plan on seeking reimbursement.
If your benefits plan does not cover these services, here are some useful tools to assist in advocating for it. Feel free to discuss with your HR, Union or Insurance representatives if you are not happy with your current coverage conditions.
